Registration Deadlines

Resident Youth Basketball Random Draw, Saturday, September 11, 1:00pm

The Autumn Brochures have been delivered via the Postal Service.  General programming listed in the Autumn Brochure is now open to residents and non-residents on a first come, first serve basis.  If you did not receive your copy of the Autumn Brochure please contact your postal carrier or the post office. 

Waiting to Register Kills Programs! Please don't wait until the a few days before a program to register. Decisions need to be made determining if the minimum enrollment has been reached in order to hold a program. Signing up less than 7 days prior to the starting date may be too late, so don't hesitate. Avoid the chance of losing your favorite class due to low enrollment. Register early!

On-Line Registration ...saves time and money and is so convenient!

Credit Card Refund Note: To better safeguard your credit card information we have changed to a more secure credit card processing system.  Refunds due on transactions processed on-line and prior to May 1, 2010, will refunded by check.

TO JOIN THE ON-LINE CLUB ...Submit an On-Line Club Application and within one business day you receive your login and password and can enjoy the convenience of registering On-Line!  
On-Line Member Note ....Grades of School Need Manual Updating.   The system is unable to automatically update all participants grades in school as different programs offered at the same time can require a child's current or future school grade.  Use the convenient "Contact Us" above and we will gladly update your child's grade within the system. Please allow one working day and check your Junk Mail as some Spam-blockers prevent our email responses from getting to In-Boxes.

Registration is Easy!Most programs allow for the On-Line Club and Walk-In, Mail-In, Fax-In, After Hours Drop-Box inside the south entrance of the Bartlett Community Center), registrations. Please check the individual programs as to which apply.

Proof of residency is required initially and annually.  We are able to verify residency of those who pay a Village of Bartlett water bill. If you do not pay a Bartlett water bill you are required annually to provide a current utility bill (sorry driver's license cannot be accepted).

Important Registration Information

In-District Resident/Out-of District Distinction:  In-District Residents (those who pay taxes to the Bartlett Park District and support the Park District) have first priority in our random draw registration process. If you are unsure if you are paying taxes to the Park District, you may check your property tax bill or we will be glad to check for you. Out-of-District residents pay fees up to one and one-half times the resident fee for most activities and services.

Household Member Criteria and Registration Restrictions:  No one other than a parent or legal guardian is eligible to submit a registration for a child.

Family Members consist of parents and their unmarried children 24 years and under residing at the same address. Proof of family members or residency is required annually and may be requested at any time.

Random Draw...All in-district registrations received prior to the Random Draw deadline will be processed in an electronic random draw. On-Line registration will be shut down until the electronic random draw is completed.

As the majority of the registrations are received in the two days prior to the deadline, the processing of registrations can take from 2 to 5 days beyond the Random Draw deadline. Once all Random Draw registrations are processed, the computer runs an electronic random draw. Confirmations are printed and compared to the random draw reports then mailed. All in and out of district registrations received after the deadline are entered into the system in the order in which they are received after the random draw deadline.

Important receipt/confirmation information ...Please read your receipt carefully as dates, days, times and locations may have changed since the printing of the brochure.

Registration Confirmations are mailed to all random draw participants including on-line, mail-in, and fax registrations. Once the random draw is completed, registrations received over the counter and on-line will not be mailed a confirmation. Over the counter registrations are handed the receipt/confirmation.  On-line registrations print-out their own receipt/confirmation.  If you did not retain or receive a receipt/confirmation it your responsibility to contact the office prior to the start of all classes you have requested. No refunds or credit will be given for lack of notification.

Waiver and Release Forms: There is an inherent risk in participating in some recreational activities. In order to continue offering a variety of quality Park District programs, our insurance carrier requires that a waiver and release form be signed prior to participation. If a participant is under18 years of age, a parent or guardian must sign. A valid signature is required at the time of registration.

Some Registration Guidelines:
1. The Registration Form must be filled out completely.
2. Give as many class choices as possible.
3. Only immediate family members may be listed on a registration form.
4. In order to be placed in an activity with a friend, both registrations must be submitted and stapled together. (Not available for on-line registrations and limited to two  participants).
5. Sign your waiver. Registrations cannot be processed unless the waiver is signed.
6. Payment must accompany and are processed for all registrations.
7. Until the completion of the Random Draw, it is not possible to perform activity changes,
transfers, cancellations or friendship links. Adjustment requests need to be submitted in writing and will be performed as soon as possible once the Random Draw process is completed.

Paid Wait List: If all choices are filled, you will be placed on the Paid Wait List for your first choice, unless you specify otherwise. Please indicate clearly on your registration form if you do not wish to be placed on the Paid Wait List. Those on the Paid Wait List will receive first priority should space become available. If you are not placed in an activity you will automatically be issued a refund after its second meeting.

Insurance: Bartlett Park District does not carry medical, accident, or loss of personal property insurance. Review your personal policies to be certain that you and your family are fully covered.

Special Accommodations/A.D.  When registering On-Line, it is necessary for you to notify us of your needs.  Please list any medications currently being taken or describe special accommodations needed for successful inclusion into the program(s). Don't Wait Until the Last Minute To Register.   In most cases activities need to reach their minimum enrollment by the 7th working day prior to its starting date.  Nothing kills an activity quicker than late registration. Registering as early as possible will help insure that the activity of your choice is held.

Mail-In: You may mail your registration form to the Registration Office, 700 S. Bartlett Road, Bartlett, IL 60103-4607. Per the U.S. Postal Service, all mail must clearly display a return address.

Fax-In: You may fax your registration to the Registration Office at (630) 540-4869. MasterCard and VISA, American Express and Discover are accepted. When submitting a registration via the Fax-in, call immediately after verifying that your Fax registration is received.

Walk-In: The Registration Counter is located in the Bartlett Community Center, main floor, 700 South Bartlett Road. Registration hours are Monday through Friday, 8:30 am to 7 pm and Saturday, 9 am to 1 pm.

After Hours Drop Box: Is located inside the south entrance of the Bartlett Community Center. Monday through Friday, 5:30 am to 10 pm and Saturday, 7 am to 6 pm and Sunday 8 am to 6 pm.

Cancellations and Transfers:  (For youth sport leagues see below).  Mark your Calendars! No refunds or credit to future program can be given for classes missed, forgotten or changes in personal schedules. Cancellation and transfer requests can be processed when received in writing by the Registration Office seven or more working days prior to the start of the programming session. No refund can be granted when a request is received less than seven days prior to its start. This applies to all general programs unless specified otherwise. A $6 cancellation fee is assessed per program, per person. Additional program costs such as trophies, T-shirts and costumes will be assessed when included in the program.

Cancellation Requests or Transfers from Youth Sport leagues. Cancellations or transfers received in writing after the registration deadline can be granted only if and when a replacement is found and registered.  Should a replacement be found and registered, a $6 administrative is charged per program per person and prorated if practice has begun.  No refund is given for for the cost of T-shirts, uniforms or trophies.

Resident Financial Aid:  The Bartlett Park District understands that families and individuals due to circumstances beyond their control can experience severe financial problems.  For this reason the Resident Financial Aid Program was created enabling resident to participate in recreational programs at a reduced fee.

Facility Conduct Policy:  Our facilities are rated “G” for the General Public to enjoy. To help make a pleasant a safe recreation environment the following facility conduct regulations are enforced:
1. You must be involved in a program or activity to remain in the facility, no loitering.
2. Children under the age of 9 may not be left unsupervised in our facilities.
3. Foul language is prohibited at all times.
4. Show respect to all participants and staff.
5. Show good citizenship by respecting equipment, supplies and the facilities.
6. Be responsible by exercising self-control and refrain from causing bodily harm to other participants and staff.

Facility users who do not conduct themselves in a proper manner, or do not follow the Facility Conduct Policy will be removed from the facility and grounds. Repeated improper conduct will result in loss of facility privileges.

Privacy Policy: The personal and private information collected by the Bartlett Park District from any individual(s) is intended for the sole use of the District, and such information will not be sold or distributed to other persons or agencies without the written permission of the individual(s) providing it, except as required by law. If information is provided to any other person or agency pursuant to any legal requirement, the District will advise the individual(s) of the disclosure.

Photographs and Videos:  Photographs and videos are taken to use for promotional purposes. By registering for a program or utilizing a park district facility or park you have granted us permission to use your image for promotional purposes.
